<div>The Radcliffe Department of Medicine (RDM) is a large, internationally leading department within the University of Oxford, bringing together discovery science, translational research and clinical medicine. Our vision is to use science to support a healthier, longer life for all.</div>
<div>We are seeking a highly organised and proactive Personal Assistant to provide high-quality support to the Head of Department (HoD) and the Head of Administration and Finance (HAF), while also contributing to the work of the Cross-RDM Professional Services team. This is an exciting opportunity to play a pivotal role in supporting the leadership and day-to-day operations of a large and ambitious medical sciences department.</div>

<div>In this varied and rewarding role, you will act as the primary point of contact for the HAF, managing a broad range of administrative responsibilities and helping to ensure the smooth running of activities across RDM. You will also work closely with the HoD’s Executive Assistant, your line manager, to provide support during busy periods and cover during periods of leave or absence, including support relating to the HoD’s academic and clinical activities.</div>
<div>&nbsp;</div>
<div>Working within the Cross-RDM team, you will help co-ordinate departmental activities and support colleagues across a range of administrative functions. Your responsibilities will include diary management, organising meetings and events, travel arrangements, preparing agendas and taking minutes for senior committees, financial administration, visitor coordination, and maintaining accurate records and documentation.</div>

<div>This role will suit an experienced PA or administrator who enjoys working in a fast-paced environment and takes pride in delivering a professional, efficient and responsive service. You will need excellent organisational skills, strong attention to detail, and the ability to manage competing priorities confidently and independently. You will be comfortable exercising sound judgement, resolving issues proactively, and adapting quickly to changing demands.</div>

<div>You will also bring excellent interpersonal skills and the ability to build positive working relationships with academic and professional services colleagues across the department, the wider University and external organisations. A collaborative, flexible and solutions-focused approach will be essential.</div>

<div>To be successful in this role, you will have proven experience providing executive or senior-level administrative support, including diary management and meeting coordination. You will have experience producing high-quality correspondence and documentation, alongside strong IT skills, including proficiency in Word, Excel, PowerPoint and SharePoint and a willingness to explore the possibilities of AI to automate repetitive processes. Experience of routine financial administration, including processing expenses and purchase orders, is essential, and experience using financial systems such as Oracle Financials would be advantageous.</div>
